How do I track tender deadlines so I never miss one?
Keep one list of every bid you intend to work, with the closing date and time, the pre-bid meeting date, the EMD deadline and the internal date by which the document pack must be ready — and let a system, not a person, send the reminders. Corrigenda move dates, so the list has to update itself from the source.
The dates that matter on every bid
- Closing date and time — the only hard deadline. Note the time zone: GeM closes at the stated time IST.
- Pre-bid meeting — if there is one, decide attendance early.
- EMD deadline — where EMD is paid separately, its cut-off can precede the closing.
- Internal ready-by date — a day or two before closing, so an upload problem is not fatal.
- Bid validity end — when your price stops being binding.
How teams lose deadlines
- A corrigendum extended the date and the team worked to the old one, or moved on.
- The one person who knew the date was on leave.
- The documents were ready; the signatory was not.
